The AI supervisor

What it does, and what it can never do

An autonomous supervisor is only worth having if the list of things it cannot reach is short, specific and enforced. Here is ours.

What it does

  • Acts only inside limits the account sets, per action and per queue
  • Records every action before it is sent, with the reason it chose it
  • Every action can be undone, one at a time, from the action feed
  • Has a kill switch that stops it immediately, for any role that can see it
  • Messages agents and supervisors, and flags queues that are slipping
  • Keeps each customer's data inside that customer's own account

What it never does

  • Never hangs up a call

CCAI reads your system at call time rather than keeping a copy of it, so the agent sees what your system says right now.

Your CRM, PSA or help desk

Salesforce, HubSpot, Zendesk, ServiceNow, ConnectWise, Rev.io, or the system somebody at your company built years ago: if it has a web API, it connects. The caller's account, open tickets and recent invoices are on screen before the agent says hello, so nobody opens with who am I speaking to. XCLUTEL runs its own business on Rev.io, so that one is already written.

Set up once, by us

XCLUTEL maps the fields to your system during onboarding and tests it against real records. There is no app for your team to install and nothing for an agent to configure. CCAI reads the record at call time and holds it only minutes, long enough that a second call does not query your system again.

CCAI needs CloudX to record your calls. Premium seats already do, so there is nothing to add. On Basic or Standard seats, add call recording for CCAI Core or Plus, or AI insights for the CCAI AI tier. You only ever need one. Both are priced on the CloudX page and billed with your CloudX service.

Texting runs on CloudX, so XCLUTEL adds no per message charge. If a carrier passes a charge through, XCLUTEL passes it on at cost with nothing added.

Transcripts and recordings

90 days of transcripts, included

CCAI keeps the text of a call for 90 days. Scores, evidence quotes, summaries and coaching notes are kept so the trends survive, and the recordings themselves stay in CloudX under your own CloudX retention.

Onboarding

What XCLUTEL does before your first live shift

Every CCAI account is built by a XCLUTEL engineer. None of the steps below are homework handed back to your team.

  1. Scope the floor

    A XCLUTEL engineer walks your queues, teams and roles with you, and counts the agents. Supervisors, managers and admins are not counted, because they are not seats.

  2. Build the account

    XCLUTEL provisions the CCAI account on your CloudX domain, creates the queues and roles, and sets retention.

  3. Switch on recording and transcription

    Call recording and call transcription are settings on your CloudX account, and XCLUTEL turns them on for the queues you are reviewing. Transcription is what the AI tier reads, so the quality of every score depends on it being on before the first shift rather than after.

  4. Register 10DLC for SMS

    Text messaging on a US ten digit number requires carrier brand and campaign registration. XCLUTEL prepares and files it for your business, and tracks it to approval before SMS is switched on.

  5. Connect your systems

    Screen pops are wired to your CRM or PSA and the knowledge base is connected, then tested against real records.

  6. Set the AI limits

    On the AI tier, you decide what the AI supervisor may do and where it stops, before it is turned on. The kill switch is shown to every supervisor on day one.

  7. Train and go live

    Agents, supervisors and managers are trained on the console they will actually use, and XCLUTEL watches the first live shift with you.

What is CloudX CCAI?

CloudX CCAI is the XCLUTEL Communications contact center product built on top of the CloudX hosted voice platform. It adds a live floor refreshed every 5 seconds, wallboards, cradle to grave call audit with the recording, filtered reporting, one inbox for SMS, MMS, website chat and email, and a set of AI features covering call quality scoring, coaching, an assistant called Ask CCAI and an AI supervisor that acts inside limits the customer sets.

How much does CloudX CCAI cost?

CloudX CCAI is priced per agent per month in three tiers: Core at $39, Plus at $59 and AI at $89. Only agents consume a seat. Supervisors, managers and administrators use the console at no charge, so a floor of 20 agents with 4 supervisors and 2 managers is billed as 20 seats.

Do supervisors and managers need a paid seat?

No. In CloudX CCAI only agents are seats. Administrators, managers and supervisors have full access to the console appropriate to their role at no extra charge, which is why the per agent price is the whole of the recurring software cost for most accounts.

What does the AI supervisor actually do?

On the AI tier the CloudX CCAI supervisor watches the floor and acts inside limits the customer sets. It records every action, along with the reason it chose it, before the action is sent, and any action can be undone. There is a kill switch that stops it immediately. It never hangs up, transfers, holds, answers or rejects a call, and it never touches the audio of a call in progress.

Which channels does CloudX CCAI support?

Today CloudX CCAI handles voice, SMS and MMS on your own numbers, website chat and email, all in one inbox with the same queues, transfers and reporting. Further channels are in development and XCLUTEL will name a date only once they are live.

How much of our call volume does the AI review?

Every call by default, with no per minute charge and no allowance to watch. An administrator sets the sample rate on the scorecard, so an account that only wants a read on a share of its calls can lower it. Ask CCAI and AI built scheduled reports are included with the AI tier within fair use.

How long does CloudX CCAI keep transcripts and recordings?

CloudX CCAI keeps the text of a call for 90 days on every tier. The scores, evidence quotes, summaries and coaching notes built from those calls are kept beyond that, so the trends and the coaching history survive. The recordings themselves stay in CloudX and follow the retention already set on that customer's CloudX account.

Does CloudX CCAI need anything added to our CloudX service?

Not on CloudX Premium seats, which already record calls and include AI insights. On Basic or Standard seats, add call recording for CCAI Core or Plus, or AI insights for the CCAI AI tier. You only ever need one. Both are priced on the CloudX page and billed with your CloudX service. XCLUTEL switches it on during onboarding.

Is there a per message charge for SMS and MMS?

Where does the data in Ask CCAI come from?

Ask CCAI answers from that customer's own CloudX CCAI data and nothing else, and it is scoped to what the person asking is already permitted to see. A supervisor who can only see two queues gets answers about those two queues. One customer's data is never used to answer another customer's question.
